Create B2B and B2G e-invoices

Use the Invoice menu to create NRS-compliant B2B (business) and B2G (government) e-invoices, manage drafts, and check fiscalisation reports.

What this guide covers

When you sell to another business (B2B) or to government (B2G), you need a full NRS e-invoice, not just a B2C receipt. This guide explains how to create, manage, and submit e-invoices using the Invoice menu on WhatsApp.

Open the Invoice menu

Send Invoice or tap Help → Browse commands → Invoice.

The Invoice menu shows:

  • Create invoice (start a new B2B or B2G invoice)
  • My drafts (continue or cancel unfinished invoices)
  • NRS Fiscalisation Report (annual CIT-oriented summary for FIRS)
  • Upload crypto keys (if you have not set up QR codes yet)

Create a new invoice

  1. From the Invoice menu, tap Create invoice.
  2. Choose B2B (business customer) or B2G (government entity).
  3. Enter or confirm customer details:
    • Business name
    • TIN (Tax Identification Number)
    • Customer address (optional for B2B, required for B2G)
  4. Add invoice line items:
    • Description of goods or services
    • Quantity and unit price
    • Tax rate (if applicable)
  5. Review the invoice summary and tap Submit to NRS.

ZoboLedger submits the invoice to NRS for stamping and returns the signed PDF in chat.

Manage invoice drafts

If you started an invoice and did not finish, tap My drafts from the Invoice menu to:

  • Continue editing — pick up where you left off
  • Cancel — delete the draft without submitting

Drafts are stored temporarily. After a period of inactivity, ZoboLedger may send a nudge reminder.

Add or update customer details

When creating an invoice, you can:

  • Add new business — enter the customer's name and TIN for the first time
  • Edit business — update stored details for a customer you invoiced before

Customer records are saved so you do not have to re-enter them each time.

What happens after you submit

  1. ZoboLedger sends the invoice to NRS for cryptographic stamping.
  2. NRS validates the invoice and returns a signed version.
  3. The signed PDF (with QR code) is sent in your WhatsApp chat.
  4. The invoice is recorded on your ledger as a verified sale.

If NRS rejects the invoice (for example, missing TIN or invalid format), ZoboLedger shows the error and offers you options to fix and retry.

Stamp recovery and retry

If an invoice submission fails, ZoboLedger presents recovery buttons when available:

  • Retry — resubmit the same invoice to NRS (useful for transient NRS downtime)
  • Activate Business — if your business is not yet activated in NRS, tap this to open the activation flow
  • Edit — go back and fix customer details or line items, then submit again
  • Cancel — delete the draft session without submitting

Credit-note issuance and post-sign cancellation are not available in chat. If you need to reverse a stamped invoice, contact support.

NRS Fiscalisation Report

From the Invoice menu, tap NRS Fiscalisation Report to download an annual CIT-oriented summary for FIRS. This is separate from the regular reports menu and covers e-invoice-specific data for the full accounting year.

Upload cryptographic keys

NRS requires your public key and certificate to stamp invoices with a verification QR code. If keys are not uploaded yet, the Invoice menu shows Upload crypto keys.

Tap it and follow the prompts to upload your .cer (certificate) and .key files. See Cryptographic key upload in the setup guide.

Common invoice tasks

  • Fix a wrong invoice before submitting: Tap Cancel from the draft, then create a new one.
  • Check invoice history: Send History with the reference number for the sale.
  • Void a verified invoice: See Edit, void, or fix a transaction. Note that voiding only affects your ledger — NRS-stamped invoices cannot be unsigned. Contact support for post-sign cancellation needs.
